Job Description

Essential Functions

  • Patient Reception & Registration: Greet patients and visitors politely, assist with form completion, and handle registration. Update and verify demographic and insurance info, ensuring eligibility and PCP selection.
  • Scheduling & Confirmations: Manage patient appointments, ensuring accurate ICD-10 codes are included. Send pre-registration and new patient packets, confirm appointments, and address scheduling conflicts. Generate waitlists and reschedule as needed.
  • Patient Check-In/Out: Notify clinical teams of patient arrival, route appropriately, and ensure smooth check-out. Review charge tickets, address simple billing inquiries, and collect copayments or balances. Balance cash drawers at end of shift.
  • Phones & Communication: Answer calls, take detailed messages, route appropriately, and handle prescription refill requests following procedures. Collaborate with answering service regarding office updates.
  • Administrative Tasks: Assist with referrals, medical records requests, and document scanning. Open/close the office following security and equipment procedures. Maintain workflows and suggest improvements as needed.
  • Financial Responsibilities: Calculate charges, collect payments, issue receipts, and ensure proper routing of billing and collection information. Balance cash by end of shift.

Requirements

Education:

  • High School Diploma or GED

Experience:

  • 1+ year as a receptionist, preferably in outpatient healthcare.
  • Experience with automated scheduling systems and cash handling preferred.

Knowledge/Skills/Abilities:

  • Principles of excellent customer service.
  • Organizational skills with the ability to multitask and prioritize.
  • Knowledge of healthcare insurance, medical terminology, grammar, and spelling.
  • Proficiency with general office equipment and EMR systems (EPIC preferred).
  • Ability to handle cash transactions and balance cash drawers.
  • Fluency in English and Spanish (read, write, speak).
  • Demonstrated cultural sensitivity to diverse, underserved populations.
